Privacy Policy

Last updated: August 13, 2026

N2X Hotel Management System (“we”, “us”, “our”) respects your privacy. This Privacy Policy explains how we collect, use, store, and share personal information when you use our website, guest booking tools, digital guest portal, and related hotel services (the “Services”).

1. Scope
This Policy applies to guests, website visitors, and users who create guest accounts or submit booking, payment, identity, or service requests through the Services.

2. Information we collect
We may collect:
• Identity and contact details — name, email address, phone number, home/billing address, and government ID type/number when required for booking or check-in.
• Booking and stay details — suite preferences, stay dates and times, reservation status, special requests, VIP flags, and related notes.
• Payment information — payment method selected, amounts due/paid, transaction references, and payment proof uploads. Card data processed by third-party payment providers is handled by those providers under their terms; we receive confirmation and limited payment metadata as needed to reconcile invoices.
• Identity documents — copies or images of ID/passport/bay forms you upload for verification.
• Guest service data — food orders, concierge requests, digital key assignments, and communications with staff.
• Account data — login credentials (stored as secure password hashes), notification preferences, and portal activity.
• Technical data — IP address, browser type, device information, and basic usage logs needed for security and service reliability.
• Cookies and similar technologies — used for session management, preferences, and essential site functionality.

3. How we use your information
We use personal data to:
• Process and manage reservations, check-in/check-out, and invoicing.
• Verify identity and prevent fraud or unauthorised access.
• Provide digital keys, guest portal features, room service, and concierge support.
• Send booking confirmations, status updates, payment instructions, and service notifications (email/SMS where configured).
• Improve hotel operations, reporting, and guest experience.
• Comply with legal, accounting, tax, and regulatory obligations.
• Protect the security of our property, staff, guests, and systems.

4. Legal bases
Depending on applicable law, we process data because it is necessary to perform a contract with you (your booking), to comply with legal obligations, for our legitimate interests in operating a safe and efficient hotel (balanced against your rights), and/or with your consent where required (for example, optional marketing).

5. Sharing of information
We do not sell your personal information. We may share data with:
• Hotel staff and authorised operators who need it to deliver your stay and services.
• Payment processors, banks, and SMS/email providers that help us complete transactions and notifications.
• Professional advisers, auditors, or insurers when reasonably required.
• Authorities when required by law, court order, or to protect rights, safety, and property.
• Service providers that host or maintain our hotel management software, under confidentiality and data-protection obligations.

6. International transfers
If any service provider processes data outside Pakistan, we take reasonable steps to ensure appropriate safeguards consistent with applicable law.

7. Retention
We keep personal data only as long as needed for the purposes above, including reservation history, invoicing, dispute resolution, and legal retention requirements. Identity document uploads and payment proofs may be retained for the stay and a reasonable period afterward for compliance and fraud prevention, then deleted or anonymised when no longer required.

8. Security
We use administrative, technical, and organisational measures designed to protect personal data (including access controls and encrypted password storage). No method of transmission or storage is completely secure; please use strong unique passwords for guest accounts and notify us of suspected unauthorised access.

9. Your rights
Subject to applicable law, you may request access to, correction of, or deletion of your personal data, or object to / restrict certain processing. You may also withdraw consent where processing is consent-based. To exercise rights, contact the front desk or the contact channels published on our website. You may also lodge a complaint with a relevant data-protection authority where applicable.

10. Children’s privacy
Our Services are not directed to children. We do not knowingly collect personal data from children without appropriate parental or guardian involvement related to a family stay.

11. Cookies
Essential cookies support login sessions and security. Disabling cookies may prevent parts of the website (including booking and guest portal login) from working correctly.

12. Third-party links
Our website may link to third-party sites or payment pages. Their privacy practices are governed by their own policies.

13. Changes to this Policy
We may update this Privacy Policy periodically. The “Last updated” date will reflect the latest revision. Material changes will be highlighted on this page or communicated through appropriate channels.

14. Contact
For privacy questions, data requests, or concerns about how we handle personal information, please contact N2X Hotel Management System using the contact details on our website, or speak with reception during your stay.
